COMMON SCHEDULING QUESTIONS WE CAN SUPPORT YOU WITH:

At Mindful Healing, we understand how important this process is. This means we place a lot of care even at the beginning stages of our work together. We only schedule new appointments after offering a free 15-20 minute consultation.
This consultation is often done by phone. We will coordinate a time that best suits our schedules and call you at your preferred number.
During this time, we will determine if we would be a good fit and compatible with your needs and goals. As we are not officially your healer, we will ask general questions to understand why you are coming to therapy.
Afterward, assuming we are a good fit, we will give you time and space to determine if you would like to schedule an appointment.
If not, we would be happy to assist you in providing external referrals that best fit your needs. You also do not have to take us up on this offer and are welcome to continue your search. -
There are several ways to schedule an appointment with your healer.
1) You can log in through your Client Portal in Simple Practice and request appointments this way.2) You can reach out to your healer directly via email. However, it may take us longer to respond than if you go through your Client Portal independently, as we may be in session or tending to other administrative tasks.
3) You can reach out to our Administrative Assistant, at admin@mindfulhealingcounseling.com, who has access to our calendars and can provide options for scheduling future appointments.
Any way you schedule an appointment, we recommend you schedule at least 2-3 in advance to ensure you see us at the recommended frequency. -
Standing appointments are repeated appointments reserved at the same time and on the same day of the week. Unlike some therapists, but like most medical doctors, we do not provide standing appointments.
We do not provide these because we cannot guarantee meeting every client’s preferences. For example, many people prefer evening appointments. However, there are only so many evenings during the week. Not everyone will be able to receive evening appointments.
This approach also provides the most flexibility in our schedules to reschedule the same week if there is an unforeseen emergency or illness. Finally, since our healers are involved in other community service and clinical work—this scheduling approach allows space for them to balance their passions and service with seeing clients.
What we can offer is a general consideration of your preferences when scheduling. We can be sure to do our best to see you at the frequency (i.e., once a week, twice a week, once a month, as needed, etc.)—we cannot save your spot. -
We do not provide 24-hour on call services. Therefore, if you are having a medical or psychological emergency you should immediately go to your nearest hospital emergency room or call 911.

We understand that life happens and schedules change!
We ask that you provide as much advance notice as possible. This helps us honor our clinicians’ time and, when possible, offer the appointment to another client who may be waiting for care.
You may cancel by emailing your clinician directly or contacting our administrative assistant. Please confirm your clinician’s preferred method of communication.
Cancellation Fees
24–48 hours before your appointment: 50% of the session fee
Less than 24 hours before your appointment or a missed appointment: 100% of the session fee
How the Session Fee Is Determined
For clients using in-network insurance benefits, our practice has a contract with your insurance provider that establishes the approved rate for each service. Any cancellation fee is calculated using that contracted rate, not your usual copay or coinsurance amount.
For example, if your insurance provider’s contracted rate for a session is $100, a 50% cancellation fee would be $50.
Please note that cancellation and missed-appointment fees are NOT covered by insurance and are the client’s responsibility.
Although we are not required to calculate cancellation fees using the insurance-contracted rate, we choose to do so as a best practice, out of respect for our agreements with insurance providers and, most importantly, for the clients who access our care through their insurance plans.
For out-of-network or self-pay clients, cancellation fees are based on the full session fee. Our fees are listed transparently on our website and vary depending on the clinician’s licensing status and the type of service provided.
This policy helps us maintain consistency, fairness, and sustainability across the practice while honoring the time and care our clinicians reserve for each client. Thank you for helping us support the well-being and culture of our practice community.

Sadly, this means the healer you want to work with is not currently taking on new clients or consultations. You can directly email them and inquire about their availability. Some healers offer a waitlist option. We will still want to provide you with other options as we do not want to see you wait if you need help and support now.
